Job Summary:
The Assistant Service Manager at Helena Motors plays a critical role in supporting the Service Manager in the daily operations of the Service Department. This position assists in leading the team to deliver high-quality service to customers, ensuring that all repairs and maintenance are completed efficiently and to the highest standards. The Assistant Service Manager is also responsible for maintaining positive customer relationships, helping to manage department budgets, and ensuring adherence to company policies and industry regulations.
Key Responsibilities:
- Leadership & Support:
- Assist the Service Manager in leading, coaching, and developing service department staff.
- Help conduct performance evaluations, providing constructive feedback and supporting staff development.
- Promote a positive working environment that encourages teamwork, professionalism, and a customer-focused attitude.
- Customer Service:
- Support service advisors in delivering excellent customer service, addressing customer concerns promptly and effectively.
- Assist in overseeing customer interactions, ensuring accuracy in estimates, timelines, and service options provided by the service team.
- Participate in service follow-ups and assist in resolving escalated customer issues.
- Operations & Efficiency:
- Assist in monitoring and managing workflow to ensure timely completion of service appointments.
- Help implement and maintain effective processes for vehicle repairs and maintenance.
- Ensure that service work is documented accurately and promptly.
- Financial Management:
- Support the Service Manager in developing and managing the service department’s budget.
- Assist in analyzing financial performance and identifying areas for improvement.
- Help optimize pricing strategies and identify upselling opportunities to achieve revenue goals.
- Compliance & Safety:
- Assist in ensuring all service work complies with company policies, manufacturer guidelines, and legal regulations.
- Help maintain a safe and organized work environment, ensuring adherence to safety protocols by all team members.
- Stay informed on industry standards and regulatory changes, assisting in implementing necessary updates to service operations.
- Inventory & Resource Management:
- Assist in managing parts inventory, ensuring stock levels meet service needs.
- Coordinate with the Parts Department to support the timely availability of parts.
- Help manage the scheduling and usage of service bays, tools, and equipment.
Qualifications:
- Education & Experience:
- High school diploma or equivalent; post-secondary education or certification in automotive technology or business management is a plus.
- Minimum of 3 years of experience in an automotive service department, with some leadership or supervisory experience preferred.
- Skills & Abilities:
- Strong leadership potential and the ability to support team management.
- Excellent customer service and communication skills.
- Proficiency in using automotive service software and systems.
- Good problem-solving and decision-making skills.
- Ability to work efficiently under pressure.
- Licenses & Certifications:
- Valid driver’s license with a clean driving record.
- ASE Certification or equivalent is a plus.
Working Conditions:
- This role involves standing, walking, and moving around the service area for much of the workday.
- May require occasional lifting of up to 50 pounds.
- Must be available to work during regular business hours, with some overtime or weekend shifts as needed.
